WMES Daily Procedures

School Day Begins: 8:15 AM

School Day Ends: 3:02

Morning Bus Duty/Drop Off

  • Doors open at 7:30. Staff will be in their classrooms or in the hallways per supervision schedule. 

  • Students for bus drop off and parent drop off will enter the gym doors where buses drop off

  • Parent drop off will mirror afternoon parent pickup with cars going down the front parking lot and turning around at the basketball courts 

Breakfast

  • Students from the bus or the parent drop off line will have the option to go to the cafeteria to eat breakfast, otherwise they will report directly to their classrooms. When students arrive they are to report to their classroom, drop their book bag off and go to the cafeteria to eat breakfast if they choose.

School Safety

  • During instructional time, all doors are to be closed and locked.  

  • Doors at the end of the two hallways are to be closed and locked. 

Front Office Procedures

  • Parents/Guardians will enter front doors, submit licenses for Raptor and check in at the sliding window with office staff, they will not leave the foyer area.  If picking up a child, your child will be brought to them in the foyer. They will sign out the child before leaving.   NO PARENTS WILL LEAVE THE FOYER

  • No parents/guardians will be allowed in the front office area unless they have a scheduled meeting with the school counselor or principal.

  • Parents will not be allowed in hallways

  • Bus notes - should include bus number, address for drop off and person responsible to receive the child off the bus.  No student will deliver bus notes or pickup notes to the office.  Teachers will collect notes and place them outside of their classroom by 9 AM daily.  After 9 AM, notes will be picked up by office staff.  The completed bus and pickup notes will be placed outside your door as they normally are. 

  • No transportation changes after 2 PM, no checkouts from 2:45-3:30 PM

  • Parents/Guardians/Visitors will ring the bell, and will be asked for their reason for being at school.

  • If the visitor would like to speak with the principal or school counselor they must set up a meeting prior to arriving at school.

  • If the visitor is dropping off something for their child/children they will be allowed into the foyer and a staff member will take the item to deliver to student. 

Front Office Procedure for Late Arrivals

  • If a child arrives at school after the 8:15 bell their parent/guardian must sign them in.

  • Parents and their child/children will wait in the foyer, and will be greeted by front office staff. 

  • Front office staff members will have the parent sign in their child/children, and give a reason for the late arrival.

  • If the parent has a doctor's note, parent note, or other written excuse they will give it to the front office staff.

  • Student/students will then enter the building, and go to their classroom.

 

Nurse’s Office

  • If a student is sick their classroom teacher will contact the nurse before sending them. This will allow the nurse to manage student needs more effectively.

  • If students need to be sent home, parents will be contacted and when they arrive their child will be brought to them in the foyer. Parents WILL NOT go to the nurses office. 

Parent Pickup and After School Bus Duty

Parent Pickup 

  • Three staff members will be at designated stations. See supervision schedule for details.  

  • Parent pickups will be called to the cafeteria and be dismissed from there up to 5 numbers at a time

  • Vehicles MUST HAVE pickup number visible in order for child to be picked up

Bus Riders

  • Early buses will be called down at 2:55 over the intercom.

  • All students will remain in their classrooms from the end of the school day until their bus is called over the intercom.  Once their bus is called they will sit in a designated section on the bleachers. The ONLY exception are those students helping our custodians.  

Attendance Policy

  • Each child get five excused parent notes for the school year

  • STEP 1 - After the third (3) unexcused event (absence or tardy), the school will notify the guardian concerning the consequences of further absences.  This will be done by either phone call or letter. NOTE: an absence and a tardy hold the same weight.

  • STEP 2 - After the fifth (5) unexcused event (absence or tardy), a second letter will be sent from the school.

  • STEP 3 - After the 8th (8) unexcused event (absence or tardy), a home visit will be done by school personnel to discuss student’s attendance

  • STEP 4 - After the 10th (10) unexcused event (absence or tardy), school personnel will notify the guardian requesting a Parent Engagement Meeting that will include school personnel and a representative from the Central Kentucky Community Action Council to develop a plan to improve their student’s attendance.  The student may be referred for court action at this time. 

  • STEP 5 - The Director of Pupil Personnel shall send a final notice by certified mail (or personal visit) to the guardian in accordance with KRS 159.180

  • STEP 6 - If the unexcused events (absence or tardy) continue, The Director of Pupil Personnel may sign a petition with the Juvenile Court using a charge of habitual truancy (KRS 159.150)

Emergency Procedures

Fire drill  

  • close and lock door

  • go outside and take your Redbook

Once students are assembled in the proper location according to the emergency or drill, the teacher will hold up the appropriately colored card, informing the Principal/designee or other emergency personnel of their status.

o   Display the GREEN CARD if all students and staff are accounted for and safe.

o   Display the RED CARD if any of the following;

  •  Missing or unaccounted for student or staff member;

  •   Students are present that do not appear on the roster;

  • First Aid is needed;

  •  Emergency medical assistance is needed;

  •   Other unexpected situation.

 

Tornado  

  • open door 

  • go to designated spot in the hallway

  • students drop to the floor with their head down to their knees 

Lockdown

When the Principal makes the announcement for a HARD Lockdown:

·         Students are to be cleared from the halls immediately and are to report to the nearest available classroom.

·         Lights are to be turned off and all persons are to be lined up or seated along the wall allowing little to no visibility from the classroom door window.

·         School staff will assist those needing special assistance.

·         All windows and doors are to be closed and locked and windows shall remain covered.  No one is to leave that location for any reason.

·         Wait for further instructions - may be on the announcements, in person, or by e-mail.

·         Once students are accounted for in the classroom slide the appropriate color card partially under the door.  If the RED CARD is used, include a piece of paper explaining what the problem is.

o   Display the GREEN CARD if all students are accounted for and safe.

o   Display the RED CARD if any of the following;

§  Missing or unaccounted for student or staff member.

§  Students are present that do not appear on your roster.

§  First aid is needed;

§  Other unexpected situations

When there is no immediate threat to school staff or students, but a need arises to secure the building, the Principal/Designee will make the announcement for a SOFT Lockdown:

·         Students are to be cleared from the hall immediately and are to report to the nearest available classroom.  School staff will assist students with special needs.

·         Lights may remain on and instruction may continue in the classroom as usual.

·         All windows and doors are to be closed and locked.

·         No one is to leave that location without Principal/Designee permission.

·         Wait for further instructions.

Earthquake

  • open door

  • get beneath a desk, table or bench, cover head with coat or clothing to minimize injury
